Groups
Introduction
The Groups menu is a feature that helps administrators manage and organize various components such as users, access tokens, and security configurations (encryption, tokenization, data masking) into a single group as needed. With groups, access rights and policies can be managed easily and in a structured manner.
The following is a guide for managing groups in the system. This guide covers the process of creating new data, viewing the data list, searching, editing, and deleting data.
1. Create New Group
Follow these steps to create a new group in the system:
1. Open the Groups menu
- Open the User Management menu in the navigation panel.
- Select the Groups submenu from the options that appear.
- Click the Create New button located on the right side of the screen to begin creating a new group.
2. Complete the form with the following data
- Group Name: Enter the group name.
- Description: Add a group description to provide additional details (optional).
3. Save the configuration
Once all fields have been completed, click the Create Group button.
A pop-up notification will appear stating that the group was created successfully.
2. List Groups
Once the data has been created successfully, users can view the list of group data that has been saved in the system.
Below is an explanation of each table column displayed on the Groups page:
- Group Name: The name of the group registered in the system.
- Description: Displays the description related to the group.
- Updated By: Displays the name of the user who last updated the group.
- Last Update: Displays the date and time the group was last updated.
- Action: Contains a button with a three-dot icon, allowing users to manage the group, such as editing or deleting it.
3. Search Groups
The search feature makes it easier for users to find a specific group's data without having to browse the entire list manually.
Follow these steps to use the search feature:
- Open the User Management menu in the navigation panel.
- Select the Groups submenu from the options that appear.
- Locate the Search field at the top right of the table.
- Enter a keyword in the Search field. The keyword can be a group name.
- The system will automatically display the list of groups that match the entered keyword.
- To display all data again, manually clear the keyword from the Search field.
4. Edit Groups
On the Groups page, users can update group information as needed. The Edit feature allows changes to data such as the group name and description.
Follow these steps to use the Edit feature on Groups:
1. Open the Groups Menu
Open the User Management menu in the navigation panel, then select the Groups submenu to display the list of available groups.
2. Open the Action Menu
- In the Action column of the row for the group you want to edit, click the three-dot icon.
- Click Manage or click the group name to open the group detail page.
3. Group Detail Page
On this page, users can view complete information about the group, including:
- Group Name: Displays the group name.
- Description: Additional notes or details about the group.
- Users: This section allows you to view the list of users who are members of the group. You can add, edit, or delete users as needed.
- Access Token: Displays the access tokens associated with the group. You can add, edit, or delete access tokens as needed.
- Security Config: In this section, you can view the list of security configuration management associated with the group. You can add new configurations, edit, or delete existing ones.
- Activity Log: Displays the history of activities performed by the group. Use the Load More button to display the complete history.
4. Edit Group Data
- Click the Edit button at the top right of the page.
- Make the necessary changes, such as:
- Updating the group name.
- Updating the description.
5. Save Changes
- After making the changes, click the Save Change button to save the updated data.
- The system will display a notification that the data was updated successfully.
5. Delete Group
On the Groups page, users can delete groups that are no longer needed.
Follow these steps to delete a group:
1. Open the Groups Menu
Open the User Management menu in the navigation panel, then select the Groups submenu to display the list of available groups.
2. Select the group to Delete
- Find the group you want to delete in the Groups table.
- In the Action column of the row for the group you want to delete, click the three-dot icon.
- Click Manage or click the group name to open the group detail page.
3. Click the Delete Button
- Once the detail page opens, click the Delete button located at the top right of the page to proceed with the deletion process.
4. Confirm the Deletion
- After clicking the Delete button, the system will display a confirmation window to delete the group.
- At this stage, you are asked to enter the name of the group to be deleted, matching the text displayed on the screen.
5. Deletion Successful
- After entering the group name, click Yes, Delete to confirm the deletion.
- A pop-up notification will appear stating that the group was deleted successfully.
Be sure to double-check before deleting a group, as this action cannot be undone.
